How to organize your email with folders

  • Eudora
    Eudora has both mailboxes and mail folders. Mailboxes are used to store email messages and mail folders are used to store mailboxes. You can put related mailboxes together in the same mail folder to organize them.

    For example, say you want to keep each family member's email separate. You could set up two mail folders: Parents and Children. The Parents mail folder could contain a Mom mailbox and a Dad mailbox. The Children mail folder could contain one mailbox for each child. If Mom wants to find her mail, she'd go to the Parents mail folder and open the Mom mailbox within that folder.

    • How do I display my mailboxes and mail folders?
      You can display a list of all your mail folders and mailboxes by clicking on the Tools menu, then clicking Mailboxes. The mailbox panel window will open listing all your mailboxes under their respective mail folders. Mailboxes at the top level (not in a mail folder) will show at the top of the mailbox panel window.

    • How do I create a new mail folder?
      Make sure your mailboxes and folders are displayed in the mailbox panel window (see above). Then:
      • If you want to create the mail folder at the top level (not within another folder), right-click on "Eudora" in the mailbox panel window, otherwise right-click on the name of the mail folder in which you want to create the new folder. Click "New" on the menu that comes up.
      • The New mailbox dialog will appear. Type the name of the new mail folder in the "Name the New Mailbox" field. Click on "Make it a folder" to check it. Click OK.
      • The New mailbox dialog will appear again. This is so you create at least one mailbox within the mail folder. In the "Name the New Mailbox" field, type the name of a mailbox you want kept in this folder. Click OK.
      • Your new mail folder will appear in the mailbox panel window with the new mailbox name below it.

    • How do I create a new mailbox?
      Make sure your mailboxes and folders are displayed in the mailbox panel window (see above). Then:
      • If you want to create the mailbox at the top level right-click Eudora in the mailbox panel window, otherwise, right-click on the name of the mail folder in which you want to create the new mailbox. Click "New" on the menu that comes up.
      • The New mailbox dialog will appear. In the "Name the New Mailbox" field, type the name of your new mailbox. Click OK.
      • Your new mailbox will now appear in the mailbox panel window under the appropriate mail folder (if any).

    • How do I switch to a mailbox to view its contents?
      Just double-click on its name in the mailbox panel window. The mailbox will open and a list of all the messages stored in that mailbox will be displayed.

    • How do I delete a mailbox or mail folder?
      Make sure your mailboxes and folders are displayed in the mailbox panel window (see above). Then right-click on the name of the mailbox or folder you want to delete. Click "Delete" on the menu that appears. You may receive a warning message - click on "Remove It" to go ahead with the deletion. The mailbox will disappear from the display (and from your computer).

    • How do I move messages into a mailbox?
      First display the mailbox where the message is now by double-clicking its name in the mailbox panel window. A list of all messages in the mailbox will appear on the right side of your screen. Click on the message line for the message you want to move and drag it to the appropriate mailbox. The message will be moved to that mailbox.

      By default, all messages you receive go into your In mailbox. You can change this so they are automatically routed to different mailboxes as they come in. To do this, set up an email filter - go here to see how.

  • Outlook Express
    All mail in Outlook Express is stored in mail folders. A mail folder can contain email messages and/or additional mail folders. You can organize your mail folders by grouping them together within other mail folders. Mail folders within other folders are called sub-folders.

    • How do I display my mail folders? By default, the folder list showing all your folders and sub-folders is displayed on the left side of your screen in Outlook Express. If a folder contains sub-folders, either the sub-folders will be displayed under their main folders, or a + sign will show next to the name of the main folder. Clicking on the + will display the sub-folders.

      If the folder list isn't displayed, click on the View menu and click Layout. In the screen that comes up, click on "Folder List" to check it, then click OK.

    • How do I create a new mail folder?
      First make sure the folder list is displayed (see above). Then:
      • To create a new folder at the top level (not within another folder), right-click "Local Folders" in the folder list, otherwise, right-click on the name of the folder in which you want to create your new folder. Click "New Folder" on the menu that comes up.
      • The Create Folder dialog box will appear. Type the name of your new folder in the "Folder Name:" box, then click OK. The new folder will appear in the appropriate place in the folder list.

    • How do I delete a mail folder?
      Right-click the folder's name in the folder list, and click Delete on the menu that appears. A box will appear asking if you’re sure you want to delete the folder - click Yes. The folder will be moved to the Deleted Items folder. To delete it permanently, right-click on its name in its location under Deleted Items and go through the same process as before.

  • Netscape
    NOTE: These instructions are for the latest versions of Netscape. If you have an older version, some of the options may be under different menus, and some of the dialog boxes may work differently.

    All Netscape mail is stored in mail folders. A mail folder can contain email messages and/or additional mail folders. You can organize your mail folders by grouping them together within other mail folders. Mail folders within other folders are called sub-folders.

    • How do I display my mail folders?
      By default, when you check your mail the folder list showing all your folders and sub-folders is displayed on the left side of your screen. Sub-folders are shown under their main folders. If the folder list isn't displayed, click on the View menu, point to Show, and click on Folders to check it.

    • How do I create a new mail folder?
      First make sure the folder list is displayed (see above). Then:
      • To create a new folder at the top level (not within another folder), right-click "Local Mail" in the file list and select "New Folder" from the menu that comes up; otherwise, right-click on the name of the folder in which you want to create your new folder, and select "New Subfolder" from the menu that comes up.
      • The New Folder dialog box will appear. Type the name of your new folder in the "Name:" box, and then click OK. The new folder will appear in the appropriate place in the folder list.

    • How do I switch to a mail folder to view its contents?
      Click on the folder name in the folder list. A list of all messages in that folder will be displayed on the right side of the screen.
